Privacy Policy

1. Who we are

AOcean Global Logistics (S) Pte. Ltd. (UEN 202227349Z) (“AOcean”, “we”) of 60 Kaki Bukit Place, Lobby A, #06-18, Eunos Techpark, Singapore 415979 is responsible for the personal data described in this policy. We are committed to protecting personal data in accordance with the PDPA.

2. Personal data we collect

• Enquiry and quotation forms: name, company, email, telephone, and the shipment details you provide (origin, destination, mode, commodity, cargo readiness, remarks).
• Customer portal accounts: the above, plus login credentials (passwords are handled by our authentication provider and stored only in hashed form — we never see them), company particulars, and records of your quotations, searches and account activity.
• Communications: correspondence with our staff relating to your shipments or account.
• Website usage: IP address, browser type, device information and pages visited, collected through cookies and analytics (see Section 8).

3. Purposes for which we use personal data

• To respond to enquiries and prepare quotations;
• To create, verify, approve and administer customer portal accounts;
• To provide freight forwarding, customs, warehousing and related services, including liaising with carriers, agents and authorities;
• To send service notifications (for example quotation status, account approval, rate updates);
• To maintain security, audit trails and business records;
• To comply with legal, regulatory and customs obligations;
• Where you have given separate consent, to send marketing communications and our logistics news brief.

4. Consent and withdrawal

We collect and use personal data with your consent, which you provide by submitting our forms (including the consent checkbox) or by using the customer portal. You may withdraw consent for any purpose at any time by contacting our Data Protection Officer (Section 10). We will cease the relevant use within a reasonable time; note that withdrawal may prevent us from providing services to you, and does not affect processing already carried out or retention required by law.

5. Disclosure

We do not sell personal data. We disclose personal data only:

• to service providers who process data on our behalf under contractual safeguards (hosting, database, authentication and email delivery providers);
• to carriers, overseas agents, terminals, insurers and government authorities where necessary to perform the services you request;
• to professional advisers, or where required or permitted by law, regulation or court order.

6. Transfers outside Singapore

Some of our service providers and logistics partners are located outside Singapore. Where we transfer personal data overseas, we take reasonable steps to ensure the recipient provides a standard of protection comparable to that under the PDPA, including by contractual means.

7. Protection and retention

We protect personal data with administrative, physical and technical measures including encryption in transit and at rest, access controls based on role, multi-factor authentication for administrative users, and audit logging.

We retain personal data only as long as necessary:

• website enquiries and quotation requests — 2 years from last contact;
• customer account and transaction records — for the duration of the relationship plus 7 years (statutory record-keeping);
• email delivery and system logs — 2 years.

Thereafter data is securely deleted or anonymised, unless a longer period is required by law.

8. Data breach notification

If a data breach occurs that is likely to result in significant harm to affected individuals, or is of significant scale, we will notify the Personal Data Protection Commission and affected individuals as required under the PDPA’s data breach notification obligations, and will take immediate steps to contain and remediate the breach.

9. Cookies and analytics

Our website uses essential cookies (for session security and portal login) and may use analytics cookies to understand how the site is used. You may disable non-essential cookies through your browser; the website remains usable.

10. Access, correction and our Data Protection Officer

You may request access to the personal data we hold about you, information about how it has been used or disclosed in the past year, or correction of inaccurate data, by contacting our Data Protection Officer. We respond within the timeframes required by the PDPA and may charge a reasonable fee for access requests where permitted.

11. Complaints

If you are not satisfied with how we have handled your personal data, please contact our Data Protection Officer first so we can resolve the matter. You may also contact Singapore’s Personal Data Protection Commission at pdpc.gov.sg.

12. Changes to this policy

We may update this policy from time to time. The version published on this page is the current one, and the date of last update appears above.
